Data Spaces

Each user approved to join a Verified Laboratory has a Personal Space nested within the Lab Space. Data is uploaded by default into the lab member's Personal Space, where it can then be moved among the Personal, Lab, and Community Spaces. Datasets can be published and made citable through the DOI request process; once reviewed and approved, the PI controls the release of the dataset to the Public Space. To upload data, a user must belong to a Verified Laboratory (i.e., be a Full Access User who has joined one or more Lab Spaces on the ODC) - every dataset uploaded to the ODC is affiliated with a Lab Space.

Membership in Multiple Verified Laboratories

Full Access Users can belong to multiple Verified Laboratories. Lab User Level (authorization) is controlled locally within each Lab Space by the Laboratory PI, meaning a user who is a member of multiple labs can have different authorizations in each Lab Space

Access to data is protected and restricted through a combination of User Account Type, Lab User Role, and Data Storage Space. On the ODC, the Laboratory PI has full control of the datasets uploaded to their Lab Space up to the point of publication. The Laboratory PI can move a dataset from Personal, Lab, and Community Spaces as they wish or request to publish from any data space at any time. However, once a dataset is published and in the Public Space, the dataset can only be removed if the DOI is rescinded which requires an appeal to the ODC oversight committee.

Personal Space

A dataset is initially uploaded into the data uploader's Personal Space. Datasets are always affiliated with a Verified Laboratory's Lab Space - however that does not make the dataset available to all users affiliated with that Lab Space! Datasets stored in the Personal Space are only accessible to the data uploader and those in the Lab Space with the assigned Lab User Roles: Laboratory PI and Laboratory Manager.

If a data uploader belongs to multiple Lab Spaces:

• they must choose which Lab Space their dataset belongs to; this affiliation cannot be changed after the dataset has been created

• only the data uploader can see and access all of the datasets they have uploaded across multiple Lab Spaces

  • Laboratory PIs and Laboratory Managers can only view data stored in the data uploader's Personal Space that is affiliated with their lab

Best uses: personal archive for tabular data & storing works in preparation

Lab Space

A dataset can be shared with all users affiliated with a Lab Space by moving the dataset from the Personal Space to the Lab Space. This action can be completed by the data uploader (regardless of their assigned Lab User Role), and those in the Lab Space with the assigned Lab User Roles: Laboratory PI and Laboratory Manager.

Best uses: lab archive for tabular data & storing works in preparation; a collaborative space to store and archive data for multi-PI/institution projects and/or grants

Community Space

A dataset can be shared with other members of the research community by moving the dataset from the Personal or Lab Space to the Community Space. The Community Space is a semi-public, restricted access space to share data with other members of the research community that have been granted access to the ODC (i.e., ODC users with a Community Access or Full Access Account) but are not affiliated with your Lab Space. To ensure data is protected, this action can only be completed by those in the Lab Space with the assigned Lab User Role: Laboratory PI.

Use of datasets found in the Community Space must adhere to the terms outlined in the Data Use Agreement.

Best use: for sharing with other members of the SCI/TBI research community...

• data at the pre-print stage

• data unlikely to be published (e.g., pilot data, negative data, data related to protocol failures/deviations)

• data that is outside the publishing scope of ODC-SCI/ODC-TBI but may be relevant/important to the SCI/TBI research community (e.g., incidental findings in naive animals/healthy patients)

Public Space

A dataset can be made public by initiating the "Request DOI" function, which triggers the editorial review process; once complete, a dataset can be published to the Public Space. The DOI request action can be completed by those in the Lab Space with the assigned Lab User Roles: Laboratory PI and Laboratory Manager. Once trigged, a notification is sent to the ODC Editorial Team that a DOI has been requested. The Editorial Team coordinates review of the dataset, provides recommendations to ensure the dataset meets required standards, and if approved, provides the DOI citation. Datasets approved for publication and granted a DOI do not automatically move to the Public Space - a "Publish" button appears by the dataset after approval - the "Publish" action must be manually completed to activate the DOI. Similar to sharing data to the Community Space, to ensure data is protected, the Publish action can only be completed by those in the Lab Space with the assigned Lab User Role: Laboratory PI.

Once published, the dataset appears in the list of Public Datasets. Datasets in the Public Space are fully considered accessible to the general public as anyone can find and view the metadata associated with a published dataset without a user account. Datasets are published with an open source license - the Creative Commons Attribution License (CC-BY v4.0) - which allows anyone with a Basic Access Account (or higher) to use the contents of the dataset, but sets the legal obligation of giving appropriate credit to the authors of the data.

Anyone can view the list of public datasets and their accompanying metadata at anytime without a user account. Downloading data from the Public Space requires a user account - this ensures that data users agree to the ODC data use agreement and terms & conditions

The ODC encourages users to upload datasets and initiate DOI requests prior to submitting any related manuscript(s) for publication. This ensures that the dataset will be reviewed and ready to publish when a journal asks for data or requires a DOI link to resolve. Datasets that are approved and assigned a DOI but have NOT been published by the Laboratory PI can request a reviewer token, which allows the dataset to be shared (e.g., with reviewers, the journal, or collaborators) without making the dataset public yet - this is especially useful when publications are under embargo.
