When a data producer (i.e., researcher) is ready to submit a dataset for publication, the Lab Manager or Lab PI submits the dataset publication request using the "Request DOI" function (found directly on the home page of their Lab Space). At this point, the dataset is automatically locked and cannot be edited, and the ODC Data Team is notified that a DOI request has been made. This signifies that the dataset has entered the Editorial Review process.

Datasets that will be cited in a scientific manuscript (or other work product) should begin the publishing process and submit a DOI Request BEFORE a manuscript is submitted to the journal (preferred) or immediately after acceptance (i.e., during the author revision process) - this ensures that there will be adequate time for dataset review, revision, approval, and assignment of a DOI.

There is no risk to submitting a DOI request early in the manuscript preparation process. A dataset is not automatically published once approved and assigned a DOI - as always, the Lab PI is the only person who can activate the DOI to publish the dataset.

The ODC Publishing Standard

The ODC Publishing Standard outlines the requirements that must be met to secure a DOI and publish a dataset. The ODC Publishing Standard builds on the Minimum Upload Specifications to confirm that all publicly available datasets are human and machine readable, and contain sufficient metadata for reuse (FAIR). The ODC Data Team and members of the Editorial Boards review every dataset submitted for publication to ODC-SCI and ODC-TBI to confirm that these requirements are met. This is called the Editorial Review process.

In short, a dataset:

• Must meet the Minimum Upload Specifications

• Must be relevant to the community of submission (SCI or TBI)

• Must have a Subject Data File in a machine readable format and contain the community required variables*

  • ODC-SCI and ODC-TBI require DIFFERENT sets of variables for publishing data; these variables apply to preclinical datasets only

• Must be accompanied by a complete Data Dictionary File containing the required variables

• Must have complete and sufficient metadata to enable reuse

If the ODC Publishing Standard is not met, the ODC Data Team will work directly with the data producer(s) to revise the dataset and bring it into alignment with the established standard. ODC-SCI and ODC-TBI both have dedicated teams with domain specific expertise available to help guide researchers through this process!

Clinical data must be appropriately de-identified in compliance with the data uploader's local jurisdiction(s) and institutional policies. Clinical datasets MUST contain a unique subject identifier variable (SubjectID), and are recommended, but not required, to include variables comparable to those required for preclinical datasets

Data Dictionary File

The Data Dictionary File must meet the Minimum Upload Specifications AND contain the Required Variables relevant to the submission community. Narrative Summary (Abstract) & Metadata

All required fields in the The Metadata Editor must be completed with sufficient detail for reuse. The Narrative Summary (fields: Study Purpose, Data Collected, and Conclusions) must include specific details about the dataset (e.g., species, sex, injury model, etc.) - please see the page: Narrative Summary (Abstract) for more information on the level of detail that is expected
